This was always a standard process to perform as an IT administrator. On the On-Premises servers we would take the request, go ahead and create the share, create the group giving access, make it live and tell the users. Well that process hasn’t really changed but we just do it a little differently now on Microsoft 365.
Firstly you need to choose whether using a SharePoint site or a Teams ‘team’ would be the best way to provide the share to the users. SharePoint is the prescribed way we always did this, but then Microsoft Teams came along and gave us the ability to put a collaborative communication platform around it.
They both use the same back-end SharePoint in your tenant. In fact when you run the M365 Discovery Report you will notice that all the Teams Sites and Channels show up in the SharePoint report. They just have a column that says ‘Teams Linked’ on them.
Making the decision then is up to you, but maybe go check out both types and see which one works best for you, then decide. I have made two videos showing how you go about creating the file shares in the Admin Center, then how they appear and behave for the users.
